We are looking for a proactive and reliable individual for a part-time office-based role of 20 hours per week, with the flexibility to spread these hours according to the needs of the office. This role will be part of the People & Places team and report directly into the Director People & Places EMEA. The ideal candidate takes initiative and manages tasks independently with minimal supervision, engages with colleagues and visitors in a friendly and professional manner, and brings a strong service-oriented attitude to everything they do, while adapting easily to a dynamic environment and contributing positively to team culture and collaboration.

What You'll Do

Office Operations & Administration
  • Manage daily office tasks, records, and documentation to ensure smooth operations.
  • Oversee office supplies, equipment, and maintain a clean, comfortable work environment.
  • Develop and implement office policies and procedures to improve efficiency.
  • Manage communication with the landlord and facility management, maintaining a positive and professional relationship.

Reception & Communication
  • Welcome visitors, manage meeting rooms, and notify relevant employees.
  • Handle incoming and outgoing messages and coordinate internal communication.
  • Liaise with IT to ensure employees have the necessary tools and access.

Events, Culture & Onboarding
  • Organize meetings, conferences, and team building events (e.g. office lunches), including budget and supplier management.
  • Support new hire onboarding, ensuring a smooth integration into the company.

What You'll Bring
  • 1–2 years of relevant work experience in an office management, administrative, or similar role.
  • Experience in coordinating office operations, or facilities management is a plus.
  • A degree or diploma in Business Administration, Office Management, or a related field is an advantage but not required.
  • Strong organizational and multitasking skills, with the ability to prioritize tasks effectively.
  • Excellent written and verbal communication skills.
  • Proficiency in MS Office (Word, Excel, Outlook) and general digital tools.
  • Ability to handle sensitive information with confidentiality and discretion.

Compensation Range:

  • Annual base salary for 20 hours per week: €12,000–€15,000
  • Base pay depends on many factors, such as location, education, experience, and skills. Base pay is only one part of Kiteworks competitive Total Rewards package that can include benefits, perks, equity, and bonuses. The base pay range is subject to change and may be modified in the future.
