Minute Media is looking for a detail-oriented Office Coordinator to manage the daily operations of our New York City office. In this role, you'll be at the heart of our office, helping to create a positive workplace culture while handling everything from day-to-day logistics to planning fun events. You’ll have the opportunity to collaborate across teams, support internal and external events, and ensure that our office is a place where everyone feels connected and welcomed.
As an Office Coordinator your responsibilities will include managing office reception, collaborating with IT, establishing and maintaining office policies and procedures, keeping supplies stocked and organized, and providing overall administrative support. This role calls for strong initiative and communication skills.
Responsibilities:
- Manage day-to-day office operations, ensuring a clean, organized, and fully functional workspace(for all NY spaces)
- Manage all aspects of ordering and inventory of office supplies, kitchen supplies, pantry & re-stocking
- Responsible for budget tracking of all office-related expenses
- Guest management/registration - greet and assist staff and visitors, serve as the point of contact for visitors, directing them appropriately and creating a welcoming environment
- Responsible for impactful in-office employee experience
- Manage incoming and outgoing mail and deliveries
- Assist with office moves and changes to office layout and keep a vigilant eye on the office for any facility-related issues
- Actively seek opportunities to improve office operations and strengthen workplace culture
Where you’ll be:
- Office is based in NYC
- Hybrid schedule: 3 days in-office per week
The expected salary range for this position is between $50,000 and $55,000. Actual pay will be determined based on skills, experience, and location. The benefits available for this position include flexible vacation policy, 15 paid holidays, paid parental leave, health insurance, 401(k) with company match.
Requirements
- 1+ years of experience in office administration, reception, or related roles
- Excel at problem-solving and staying composed under pressure
- Take initiative and work independently, managing tasks with minimal oversight ensuring smooth operations
- Professional, with excellent verbal and written communication skills
- Team player with strong interpersonal skills, supporting a collaborative office environment
