Why this role matters

It's Monday morning in Helsinki. The coffee is on, the weekly order is in, and a new Hoxhunter is walking through the door for their first day with everything ready for them. On Friday, the team gathers for an office get together you helped plan. None of this happens by itself, and that's where you come in.

As our Junior People Operations Specialist, you will own how it feels to come to work at Hoxhunt in Helsinki. You will keep our new office running smoothly, bring the team together through culture activities and events, and be the first point of contact when colleagues need help.

This role suits someone who enjoys both sides of the job: the structured weekly routines that keep everything running, and the people moments that make it a great place to be. You will do it in a fast growing global scale-up where your ideas make a real impact. As you grow in the role, you will take on more responsibility and ownership across People Operations.

What you’ll own and drive

  • The Helsinki office experience: coordinate daily office operations, handle weekly orders and suppliers, and keep our new office spaces welcoming and working the way they should

  • Office culture: run our culture group and coordinate office parties, events and activities that make Hoxhunt a great place to be, and be the main voice of our Helsinki office channel

  • Employee questions & queries: Handle employee questions and queries via Slack or via our People Ops ticketing system

  • The employee lifecycle: support and coordinate pre-boarding, onboarding and off-boarding activities, and keep employee data up to date in our HRIS

  • Documentation and task lists: help keep our operations task lists and process documentation clear and up to date

  • Wider admin team collaboration: work closely with our Finance and IT teams


What success looks like

In your first 3 months you'll: Own daily office coordination and orders, handle questions directed to the People Ops with confidence, and become the Helsinki team's go to person.

By month 6 you'll: Run the culture group and office activities independently, manage the ticketing system and employee questions on your own, and spot office and team needs before anyone has to ask.

What makes you thrive here

You have:

  • 1 to 2 years of experience in office coordination, office assistance, back office work, event or culture coordination, or a similar role

  • Strong organisational skills: comfortable managing a variety of tasks, and you enjoy structure and attention to detail, including the weekly routines that keep an office running

  • A proactive, ownership driven attitude: you take things on without being asked and think ahead about what will be needed next

  • The ability to adapt and think on your feet when plans change

  • The courage to speak up, suggest ideas and try new things

  • Strong communication skills, genuine care for people, and you enjoy creating a welcoming atmosphere where others feel at home

  • Fluent spoken and written English

You don't need previous HR experience to apply. We will teach you the HR admin side. What matters most is that you love making an office and a team work well.

Bonus points if you also:

  • Have experience from a fast growing scale-up or startup environment

  • Have previously worked with HRIS

Who you’ll work with

You will join our supportive People team, reporting to our People Operations Manager and working closely with our global People Operations team and the wider People team. We are a small, fast moving team that cares a lot about how things are done at Hoxhunt, and we will back you up while you learn the ropes. Your ideas are welcome from day one, and your presence will be at the centre of daily life in our Helsinki office.
