What you'll do
As our HR Operations Specialist, you will help build and run the people operations foundation for Flatpay’s US team. You will play a hands-on role in ensuring every employee has a smooth, compliant, and positive experience from offer acceptance through onboarding, day-to-day employment, payroll and benefits support, and offboarding.
This is an ideal role for someone who enjoys structure, details, systems, and process improvement, while also caring deeply about the employee experience. You will partner closely with People, Talent Acquisition, Finance, and our US leadership team to make sure our HR operations are accurate, scalable, and easy for employees and managers to navigate.
Main responsibilities
Own and coordinate the employee onboarding process for US employees, ensuring new joiners have a clear, welcoming, and well-organized experience.
Manage onboarding administration, including employee data collection, employment documentation, background checks, system setup, benefits enrollment support, and new hire communications.
Support offboarding processes end-to-end, including exit documentation, system and access coordination, final payroll inputs, benefits-related administration, and employee communications.
Maintain accurate employee data across HR systems and ensure records are complete, up to date, and handled with confidentiality.
Support payroll administration by preparing and reviewing employee changes, new hire inputs, terminations, time off data, and other payroll-related updates.
Partner with Finance and external providers to help ensure payroll is processed accurately and on time.
Support employee benefits administration, including enrollments, changes, employee questions, and coordination with vendors or PEO partners.
Act as a first point of contact for employees on HR operations questions related to onboarding, offboarding, payroll, benefits, policies, and people systems.
Help document, improve, and scale US HR processes, workflows, templates, and employee-facing guidance.
Support compliance-related HR administration, including required employee documentation, policy acknowledgments, and state or federal process requirements.
Partner with global People Operations to align US processes with Flatpay’s broader people standards while adapting for local requirements.
Identify opportunities to make HR operations more efficient, consistent, and employee-friendly as the US team grows.
Who you are
You are highly organized, detail-oriented, and service-minded. You enjoy making complex processes simple, keeping data clean, and ensuring people feel supported during important employment moments. You are comfortable working in a fast-moving environment where processes may still be developing, and you bring a practical, solutions-oriented mindset to building them.
You understand that great HR operations require both precision and empathy. You can manage sensitive information with discretion, communicate clearly with employees and stakeholders, and follow through reliably on operational details.
Skills & Attributes
2+ Experience in HR operations, people operations, employee experience, payroll administration, benefits administration, or a similar HR support role.
Strong understanding of onboarding and offboarding processes, with the ability to coordinate multiple steps, stakeholders, and deadlines.
Experience supporting payroll inputs, employee changes, benefits administration, and HRIS data management.
PEO experience is a plus, including experience working with platforms such as Rippling.
Familiarity with US employment administration, payroll, benefits, and HR compliance requirements is preferred.
Excellent attention to detail and a high level of accuracy when working with employee data, documents, and payroll-related information.
Strong communication skills and a helpful, employee-first approach.
Comfortable handling confidential information with discretion and professionalism.
Process-oriented and able to create structure, documentation, and repeatable workflows in a growing organization.
Adaptable and comfortable working in a dynamic, rapidly growing organization where priorities can change quickly.
Able to work from our New York office 5 days a week.

Competitive salary, standard US benefits - including health insurance and 401(K).
Salary Range - $70,000 - $85,000 USD
